How to set quote general options in WooCommerce

Request a Quote for WooCommerce lets you replace the "Add to Cart" button with a quote request form, so customers ask for pricing instead of buying outright. Each quote request now has its own Quote General Options section, where you can attach a file, set a one-off expiry date, and leave a note that shows up on the customer's quote page.

For example, you could send a customer a product photo along with a 17-day price hold and a short message explaining a negotiated discount — all on that one quote, without touching your default settings.

Benefits

Setting quote-specific options can help you:

  • Give a customer reference files (photos, spec sheets, price breakdowns) without a separate email
  • Set a firm deadline on one quote without changing your default expiry setting
  • Explain a price or discount directly on the quote, next to the Accept/Reject buttons

How to Set Quote General Options

Step 1: Open the Quote Request

From your Quote Requests tab, click the request you want to edit. This opens the View Quote Request screen, showing the customer's name and their Quote Information.

Step 2: Configure the Quote General Options

Scroll down to Quote General Options. From here, you can set three things independently:

  • Upload an optional Attachment — pick a file from the media library. It's added to the quote alongside the quote PDF, in both the notification email and the customer's account page.
  • Set a specific expiry date for this quote — toggle this on to reveal the This quote will expire on date field. Turning it on overrides your global 'Quote options' expiry setting for this quote only.
  • Message to show in "My account > Quote detail" — type a note here to show the customer something specific about this quote (a discount explanation, a special condition, etc.).

Step 3: Save and Check the Customer's View

Save the quote request, then check how it looks from the customer's side. The notification email shows the Request Date and Expiry Date side by side, with both the quote PDF and your uploaded attachment listed as downloads.

The customer notification email shows the expiry date and both attached files.

On the My account > Quote detail page, your message appears under Admin reply, next to the quote totals and the Accept/Reject buttons.

The My account > Quote detail page, with the admin reply shown next to Accept and Reject.

Example Use Cases

Time-Limited Offer — If you want to give one customer a shorter or longer response window than your default, set a custom expiry date instead of changing the global setting.

Reference Files — If you want to send a spec sheet, price breakdown, or product photo with the quote, upload it as an attachment.

Personalized Note — If you want to explain a negotiated price or a one-off discount, add a message so it's visible right where the customer accepts or rejects.

Conclusion

Quote General Options let you attach a file, set your own expiry date, and leave a note for a single quote request — all from the View Quote Request screen. It's the quickest way to customize one quote without touching your plugin-wide settings.

The quote falls back to your global 'Quote options' expiry setting.

3. What file types can I upload as an attachment?

Any file type your WordPress media library accepts.

No. It shows as a separate Admin reply note alongside the quote totals and the Accept/Reject buttons — it doesn't replace either.
